Quod Financial Ltd is the data controller for the personal data described in this policy. That means we decide why and how it is used, and we are responsible to you for it.

What this policy covers

This policy explains what happens to personal data you give us through this website, quazar.org.

If you have a wider relationship with Quod — as a client, a supplier, a job applicant, or through our main website — the privacy policy at quodfinancial.com/privacy-policy applies to that relationship as well. This policy covers this website only.

What we collect, and when

This website has no login, and we never ask you for payment details. We collect personal data at four points.

When you use the contact form. We collect your first name, last name, email address, company, and whatever you write in the message field.

When you request Quazar (buy side). We collect your first name, last name, email address, company, job title, and the number of connections you need.

When you request a sell-side quote. We collect your first name, last name, email address, company, job title, and any message you include describing your connectivity needs.

When you sign our terms and conditions. If you request the free version of Quazar, we ask you to sign our terms and conditions electronically. To do that, we pass your name, email address and company name to our e-signature provider, which sends you the document to sign and stores the completed copy once both parties have signed it.

Automatically, when you visit. Our hosting infrastructure records standard technical information each time a page is served, including your IP address, the page requested, the time of the request, and your browser's user-agent string. We use these records to keep the site available and secure.

Why we use it, and our legal basis

Reply to an enquiry

Set up the free version

Name, email, company — including issuing and countersigning the terms and conditions.

Basis: steps taken at your request before entering into a contract.

Name, email, once the terms are countersigned.

Basis: performance of that contract.

Marketing

Name, email, company, job title — about Quazar and related Quod products.

Basis: your consent, given by ticking the box on the form.

Keep the site available

Technical data described above, to investigate faults or abuse.

Basis: our legitimate interest in network and information security.

Keep business records

Name, email, company, signed document.

Basis: our legitimate interest in keeping business records, and our legal obligations.

Where we rely on your consent, you can withdraw it at any time, and doing so does not affect anything we did before you withdrew it.

Where we rely on our legitimate interests, we have considered whether those interests are overridden by your own interests and rights, and concluded that they are not. You can ask us to explain that assessment, and you can object to it.

You do not have to give us any of this data. If you choose not to, we will not be able to respond to your enquiry or provide you with Quazar.

Who else sees it

We do not sell your personal data, and we do not share it with third parties for their own marketing.

We do use service providers who process it on our instructions and under contract:

  • Zoho Corporation — our customer relationship management system. Details you submit through the forms on this site are stored there as a contact record and an accompanying note.
  • Zoho Sign — our electronic signature service, used to issue and store the signed terms and conditions described above.
  • Amazon Web Services — hosts this website and serves its pages.

Your details may also be shared internally within Quod where that is needed to respond to you.

We may disclose personal data where we are legally required to, for example in response to a valid request from a court, a regulator or a law enforcement authority, or where we need to establish or defend legal claims.

Where your data goes

Our customer relationship management and electronic signature providers process data on infrastructure located in the United States, which means your personal data is transferred outside the United Kingdom.

Where we make such a transfer, we do so under standard contractual clauses approved for use in the UK, together with the additional safeguards set out in our provider's data processing agreement. You can ask us for details of the safeguards we rely on by emailing privacy@quodfinancial.com.

How long we keep it

  • Enquiries and correspondence — 24 months after our last contact with you.
  • Contact records in our CRM — 24 months from your last interaction with us, after which the record is reviewed and deleted if there has been no further contact.
  • Signed terms and conditions — six years from the date of signature, being the period during which a claim under the contract could be brought.
  • Marketing consent — until you withdraw it. We also review consents that have gone 24 months without engagement and remove them.
  • Technical and access logs — 90 days.

When we no longer need personal data, we delete it or anonymise it so that it can no longer be linked to you.

Cookies

This website does not set cookies.

We do not use analytics or advertising cookies, we do not track you across other websites, and we do not build a profile of you from your browsing. Because nothing is stored on your device, there is no cookie banner on this site.

If this changes, we will update this policy and ask for your consent before setting any non-essential cookie.

Your rights

Under UK data protection law you have the right to:

  • Ask what we hold about you, and get a copy of it
  • Have inaccurate data corrected
  • Have data deleted, where we no longer have a good reason to keep it
  • Ask us to restrict how we use it while a question about it is resolved
  • Object to our use of it where we rely on legitimate interests, and to object at any time to its use for direct marketing
  • Receive it in a portable format, or have it sent to another organisation, where we hold it on the basis of your consent or a contract and process it by automated means
  • Withdraw your consent at any time, where our use of your data is based on consent

To exercise any of these, email privacy@quodfinancial.com. We will respond within one month, and there is no charge.

Every marketing email we send includes an unsubscribe link, which you can use instead of contacting us.

If you are unhappy with how we have handled your personal data, you can complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. We would ask you to raise it with us first, so that we have the chance to put it right.

Keeping it secure

We maintain technical and organisational measures to protect personal data against loss, misuse and unauthorised access, and everything submitted through this site is transmitted over an encrypted connection.

No system is completely secure, but if a breach affects your personal data and is likely to present a high risk to you, we will tell you.

Changes to this policy

We review this policy at least once a year, and whenever we change how this site collects or uses personal data. The date at the top shows when it was last updated. If we make a change that materially affects you, we will take reasonable steps to bring it to your attention.
